A pen works well at a busy booth because visitors can use it to mark a catalog page or jot down a model number. A notebook earns its place in a conference bag when attendees have a session to take notes in. For a scheduled buyer meeting, the most useful giveaway may be a sample that shows what your company can make.
Before choosing a product, give your booth team three numbers: how many visitors you expect to hand an item to, how many conference bags you have agreed to fill, and how many buyer meetings are booked. Each quantity belongs on a separate line in the quote. A pen for every visitor and a boxed set for every buyer are two very different orders.

What to hand out at a busy booth

Choose something one person can hand over while another is answering a question. For a catalog-heavy booth, pair a ballpoint with the catalog and use it during the conversation. For a booth running short product demos, a small notebook makes more sense if visitors need to record measurements, colors or item codes.
The SYLOON AB050201 metal ballpoint has a silver aluminum barrel and a removable cap. Its listing illustrates two details worth checking before you choose a pen. First, the published minimum is 5,000 pieces per color. An order for 5,000 split between two brand colors would need a separate quotation. Second, each pen is individually bagged. Decide whether the team will hand it out that way or open packs before the doors open.
For a series of shows, ask for one quote with your company logo and another with the show name and date added. The dated version suits a single event. A logo-only barrel lets the next booth team use any remaining pens.
Work out the booth quantity from your own schedule
Suppose your team expects to hand a catalog to 40 visitors an hour during six staffed hours each day. Over three days, that gives you a working estimate of 720 catalogs and 720 pens. Ask the people staffing the booth whether that pace makes sense. Use the previous show’s handout count if you have it. Attendance for the entire exhibition tells you little about how many people will stop at your stand.
Now compare 720 with the minimum for the pen you want. In this example, a 5,000-piece custom run would leave 4,280 pens after the show. Before requesting a production sample, decide where those pens would go. A distributor that supplies several regional events might have an immediate use for them. A company exhibiting once a year might ask its supplier for a stock barrel with a smaller decoration run. Give both suppliers the same delivery brief so you can price the two choices fairly.
Keep workshop and meeting allocations separate when the shipment reaches the venue. A carton labeled “Wednesday workshop — 80 seats” is much less likely to be opened for general booth traffic. Count what is left at the end of the first day; your team can then move the following day’s supply to the counter in smaller batches.
What to put in a conference gift bag

Start with the largest item going into the bag. If that is a sponsor catalog, send its closed dimensions and spine thickness to the bag supplier. A tote can look wide enough on paper and still be awkward to carry once a thick catalog, notebook and pen are inside.
A 340 × 410 mm cotton tote gives you a specific size to discuss. Those are the published bag dimensions. Ask the supplier to confirm the usable opening and print area separately. If the organizer already supplies the bag, put the budget into the notebook or pen and ask for the organizer’s maximum insert size.
| Where the gift goes | Suggested contents | What to confirm before ordering |
|---|---|---|
| Registration desk | Tote, program and pen | Who supplies each item and who packs the bags |
| Workshop seat | Notebook and pen | Available writing space and how the two items will stay together |
| Sponsor insert | Pocket notebook or a single pen | Insert dimensions, delivery address and the organizer’s packing deadline |
When comparing quotes, ask for loose items and prepacked bags as separate options. A lower item price can leave your team assembling hundreds of bags the night before registration.
Put a complete bag together before approving the order
Ask one person to pack a bag using the actual program, sponsor inserts and proposed gifts. Have a colleague carry it over one shoulder and remove the notebook as if they were taking a seat. Does the pen fall to the bottom? Can the program come out without catching its corners? Does the printed logo disappear into a fold when the bag is full? These checks cost little and can reveal a need to change the bag or move the artwork before the print run.
A pen loop on a notebook, where the selected model has one, can replace a separate pen sleeve. A welcome card can double as the session agenda if the organizer approves the artwork. Both options remove a packing step. Ask for quotes on the simpler version as well as the original combination, especially when several people will assemble the bags by hand.
For a split delivery, tell the supplier which pieces go to the conference organizer and which go to the booth. In the catalog example above, an additional 80 workshop kits containing the same pen would bring the allocation to 800 pens. Mark the 80 as part of the total order and show the two destinations separately. Otherwise one team may quote 800 loose pens while another quotes 800 pens plus 80 packed sets.
What to give a buyer after a meeting

Give the buyer something that carries the conversation back to their team. If you have just discussed a back-to-school range with a retail buyer, a coordinated stationery set can show how several items would look together on a shelf. A buyer discussing corporate gifts may only need a notebook and matching pen.
For example, SYLOON’s ZB0132001 stationery set includes a B6 spiral notebook, sticky notes, a PVC pen case, a ballpoint, two pencils, a sharpener and a pig-shaped eraser. The shaped eraser gives a school-range buyer a concrete design feature to discuss. For an office-gift brief, ask what a simpler configuration would cost. The listed minimum of 3,000 applies to the catalog set; component changes need their own quote.
For a small meeting schedule, ask about sample availability first. Record the item code and the changes the buyer requested on a card they can keep with the sample. That gives both teams a reference when the follow-up email arrives.
Decide what the buyer should be able to approve
For a retail range review, send the meeting team with a sample and a short specification card. Give the buyer room to mark a decision against each component. A note such as “keep the B6 format, change the cover art, quote the pencil case separately” is enough to start a revised quotation. The card should carry the same item reference as the outer packaging so a colleague who missed the meeting can identify the set later.
For an early conversation about branding, a finished catalog sample can illustrate the shape and contents. Label any proposed change clearly. A printed mockup of a cover can help a buyer choose artwork, while a decorated production sample answers a different question: whether the approved colors and small lettering are legible on the selected material. Ask which decision the buyer needs to make next before paying for a custom sample or promising a delivery date.
What to include in a bulk giveaway quote request
Give suppliers the same brief so you can compare what each price covers:
- Quantity by item and color. Separate booth handouts, conference inserts and meeting gifts. Say whether the order covers one show or several.
- Artwork and placement. Attach the logo file and specify which side of the tote, which part of the pen barrel or which notebook cover should carry it. Ask for a proof at actual print size.
- Packing and delivery. Specify loose or assembled sets, the delivery address and the date the goods must arrive. For an organizer-packed bag, use the insert deadline.
- Costs and approval dates. Ask the supplier to show sampling, decoration, packing and freight separately, and to give the last date for artwork approval.
Compare the cost per gift delivered
Ask both suppliers to price one complete, decorated gift delivered to the same receiving address. For example, suppose you are comparing two illustrative quotes for 500 workshop kits. One totals $2,000 for the products, $150 for decoration setup, $200 for assembly and $250 for freight. That comes to $2,600, or $5.20 per delivered kit. A second quote at $4.90 per kit with delivery charged separately has only $150 of room for freight before the totals are equal. These figures illustrate the calculation; obtain current prices for your own configuration.
Write down any charges still open on either quote, such as a sample courier or a venue handling fee. If both suppliers exclude the same venue fee, you can compare their offers first and then add that fee to the event budget. If only one supplier includes assembly, find out what the other will deliver when the cartons arrive. Someone on your team will need to do the work that the lower quote leaves out.
Work backward from the receiving date
A Friday opening might come after a Tuesday sponsor-insert deadline. In that case, ask the organizer for Tuesday’s receiving hours, the receiving contact and the exact carton label. Send those details to the supplier before agreeing to a schedule. Then have the supplier work back through delivery, transit, packing, production and artwork approval, showing which dates require a decision from you.
Name the person who can sign off on the artwork and the person who will receive the goods. If a revised sample arrives while the usual approver is traveling to the show, a designated backup can compare it with the signed artwork and keep the order moving. Keep the approval and the final quote together so the receiving team can check the carton count, quantities by item and any packs reserved for buyer meetings.
To discuss a SYLOON configuration, send the event brief with your quantities, artwork and required arrival date. If you have a budget per attendee, say whether it needs to cover the item alone or the packed gift delivered to the venue.
